The core promise

By design, the full contents of your email and calendar stay on our own servers.

To build your plan, Athdemix needs a few facts out of your calendar and (later) your email — things like “Bio test, due Sept 14” or “Game, 6:00–8:00 PM.” It does not need the message you actually wrote or received.

So we read the details on our own systems, using our own open-source AI. That step pulls out just the scheduling facts. The only thing we send to an outside AI service (like Anthropic’s Claude) is those short facts — a title, a date, a type. Your original emails, event descriptions, attachments, and message bodies aren’t sent to any third-party AI, and aren’t stored in our database.

Two more things we don’t send to outside AI: your name/email, and how you’re feeling (your check-ins). Those stay with us.

Athdemix (“Athdemix,” “we,” “us”) helps student-athletes see their week and know what to do tonight. We built the product privacy-first because it handles the schedules of minors. This policy explains, in plain language, what we collect, how we use it, who we share it with, how long we keep it, and the rights you have. 1. How we process your content (the local-AI approach)

When you connect a calendar (and, in future, email or a school assignment system), the raw content is handled in two clearly separated stages:

On our own infrastructure — the raw content. An open-source AI model that we run inside our own systems reads the full content and extracts only the scheduling facts we need (titles, dates, times, and whether something is a test, practice, game, or assignment). The raw content is used for this one step and then discarded — by design, we don’t save full email bodies, calendar descriptions, or screenshots to our database.
Outside AI services — the facts only. To phrase your nightly plan well and to sort events into the right category, we sometimes use a leading third-party AI provider. It receives only the short extracted facts — not the original message, and not your name, email, or check-ins.

The practical result: Athdemix is designed so the full contents of your emails and calendars stay on our servers and aren’t exposed to any third-party AI company. This is a design intent baked into how the system is built — the extraction step runs on our own infrastructure, and only the short facts it produces are passed to an outside AI provider.

Any third-party AI provider we use is contractually required not to retain the facts we send or use them to train their models.

2. What we collect

Account information — your name, email address, time zone, and a school-day end time, so we know when your evening starts.
Calendar and assignment facts — the extracted scheduling facts described above (event titles, dates/times, assignment due dates and types). Not the raw source content.
Source connections — the calendar link or account authorization you connect, stored as an encrypted credential so we can refresh your schedule.
Your plans and progress — the nightly recommendations we generate and which items you complete.
Feeling check-ins — the one-tap “how did tonight feel” response. Private by default (see §6).
Product usage — basic events (e.g. “plan viewed,” “item completed”) so we can tell whether Athdemix is actually helping.

We collect only what the scheduling algorithm needs. We don’t sell your data, and we don’t run third-party advertising or analytics trackers.

3. How we use it

To combine your school and sports schedule into one honest view of your week.
To estimate how heavy each day is (the green / yellow / red load).
To generate your ~3 prioritized actions each night.
To improve our forecasting and phrasing over time.

We don’t use your data for advertising, and we don’t sell it.

4. Who we share it with

We share data only with the service providers needed to run Athdemix, and only the minimum required:

Google Cloud — hosting, database, and authentication. Your data is stored here, encrypted (see §5).
Third-party AI providers (e.g. Anthropic) — receive only the short extracted scheduling facts (not raw content, names, emails, or check-ins), under no-retention / no-training terms.

We don’t share your data with advertisers or data brokers. We may disclose data if required by law, or to protect the safety of a user — but student schedules and check-ins are not sold or shared for marketing.

5. How we protect it

Encryption. Your data is encrypted both at rest and in transit.
Credential handling. Calendar links and account tokens aren’t shown back to you in full, and aren’t written to our logs.
Access controls. Your data is readable only by your account, and the system is designed so raw content is processed on our own infrastructure rather than transmitted to an outside AI network.

6. Feeling check-ins are private

Your one-tap check-ins are private to you by default. They aren’t sent to any AI service, and they aren’t shown to a parent unless you choose to share. If we later offer parent views, parents would only see derived guidance (like a day’s load color), not your raw check-ins.

7. How long we keep your data

Nothing is kept forever by default. Every type of data has a defined retention period, and an automated process deletes data once it passes that window.

The 13-month window covers one full school year plus a little overlap — long enough to reason about your year, and no longer.

8. Your rights and choices

Access — ask us what we hold about you.
Correction — fix anything that’s wrong.
Deletion — delete your account and everything tied to it. When you ask, we purge your data within 30 days (including from backups as they age out).
Disconnect a source — remove a calendar at any time; its stored credential is erased immediately.

9. Students and minors

Athdemix is built for high-school student-athletes, generally ages 13–18. It is not intended for children under 13, and we require all users to confirm they are 13 or older before using Athdemix. Because we handle student data, we apply the practices in this policy — minimizing what we collect, processing content on our own systems, encrypting your data, and deleting on request — specifically to protect minors. Parents or guardians with questions about their student’s data can contact us at privacy@athdemix.com.

10. Changes to this policy

If we make a material change, we’ll update the date above and, where appropriate, notify you in the app. Continued use after an update means you accept the revised policy.
